We are looking for a

Billing Coordinator (80% - 100%)

to join our Finance Team in Geneva. In this role, you will play a vital part in ensuring the smooth and accurate billing process, while also supporting the team, consisting of 7 team members in achieving its goals.

Your Key Tasks and Responsibilities will include:

Billing process

  • Preparing, reviewing, and processing client invoices in accordance with the firm's policies and clients' specific requests, when applicable;
  • Ensuring accuracy in time entries, fee quotes, billing rates and disbursements;
  • Communicating with partners' and clients' regarding billing inquiries;
  • Tracking payments, sending reminders for payments and assisting with recovery proceedings, when needed;
  • Entering invoices into clients' invoicing electronic platforms, as required;
  • Creating and maintaining documentation and procedures related to billing activities;
  • Optimizing and streamlining current processes and workflows;
  • Maintaining and updating clients' billing records and generating billing reports;
  • Providing general administrative support to the finance team related to billing activities.

Team coordination and processes supervision

Reporting to our on-site Accounting and Finance Manager, you will be responsible for:

  • Coordinating tasks within the billing team and balancing workload;
  • Organizing team members' absences and schedules;
  • Providing guidance on internal processes and workflows, and training team members;
  • Ensuring team members adhere to processes and standards;
  • Fostering a collaborative and efficient work environment.

If you meet the following criteria, we’d love to hear from you:

  • A commercial education and strong affinity for numbers;
  • Extensive experience in accounts receivables and a solid background in accounting;
  • Experience in team supervision and process management, with good leadership skills;
  • Native fluency in French or English, with a very good command of the other language (additional languages are a plus);
  • Exceptional organizational skills, with the ability to multitask, prioritize, and execute tasks efficiently;
  • Ability to thrive in a fast-paced environment while maintaining a high level of customer service;
  • Strong communication and problem-solving abilities;
  • Familiarity with ADERANT Expert or similar legal-industry time and billing suites is an asset;
  • Familiarity with various electronic billing vendor web sites is advantageous;
  • Experience in the legal or consulting industry is a plus.
