We are looking for a

Billing Assistant (80% - 100%)

to join our dynamic Finance Team, consisting of 7 colleagues, in Geneva. As part of our team, you will contribute to ensuring smooth and efficient billing processes within the firm.

Your Key Tasks and Responsibilities will include:

  • Preparing, reviewing, and processing client invoices in accordance with the firm's policies and clients' specific requests, when applicable;
  • Ensuring accuracy in time entries, fee quotes, billing rates and disbursements;
  • Communicating with the firm's partners and clients regarding billing inquiries;
  • Tracking payments, sending payment reminders, and assisting in recovery proceedings, when necessary;
  • Entering invoices into clients' invoicing electronic platforms, as needed;
  • Developing and maintaining documentation and procedures related to billing activities;
  • Assisting in the optimization and streamlining current processes and workflows;
  • Maintaining and updating clients' billing records and generating billing reports;
  • Providing general administrative support to the finance team related to billing activities.

To be successful in this role, you should have:

  • A commercial education with strong affinity for numbers;
  • Initial work experience in accounts receivables and a background in accounting;
  • Native fluency in French or English, with an excellent command of the other language (knowledge of an additional language is an asset);
  • Strong organizational skills, with the ability to prioritize and manage multiple tasks efficiently;
  • Exceptional attention to detail and accuracy;
  • A customer-focused mindset with a strong sense of service;
  • Familiarity with ADERANT Expert or similar legal-industry time and billing suites is an asset;
  • Familiarity with various electronic billing vendor web sites is advantageous;
  • Experience in the legal/consulting industry is a plus.
